Western Quarterly Meeting Interim Meeting

We opened Interim Meeting with a period of silent worship.

2011-32 Introductions of those in Attendance

2011-33 Review of 8th Month minutes: (Everyone present appears to have received them electronically). Note changes: The spelling of Shelley’s name corrected; budget deficit is $1,600, not $8,000; “Electronic Treasurer’s report will be circulated; ”The “e.g” regarding budgeted expenses should read “some positions were not completely filled at that time.” Minutes approved with these changes.

2011-34 Treasurer’s Report (Ariana): Income and expense documents circulated with October numbers informally added in. (Note: Wiggins is the group who handled WQM payroll.) First covenant payment was made to PYM. WQM is still awaiting covenants from MM to help cover the PYM payment; ideally it would be good to send funds to PYM at the end of September and then at the end of each Quarter to prevent “forwarding funding” of our covenant to PYM.

2011-35 Planning Committee (reported by….): Meeting was held at Kennett Friends Home on 11/2/2011. Newark MM has agreed to host 1st Month QM on First Day, 1/22/2012. Topic approved: continuation of the Marcellus shale fracking issue with the possibility of a panel of Friends who visited the area in Upper Susquehanna Quarter. 4th Month QM is tentatively scheduled for Mill Creek MM.

2011-36 Personnel Committee: 2 minutes reviewed –1st Minute addresses the return to having a position of Quarter Coordinator instead of having a separate newsletter editor, newsletter designer and secretary. This position would be supervised by the WQM Personnel Committee. Youth Activities Coordinator (YAC) position would continue as is with the Youth Activities Committee working with the Personnel Committee to supervise this employee. Financially the impact of this streamlined staffing structure would be slight. WQM reserves can cover unexpected expenses –There is $31,000 in our Money market (readily available) and $50,00 in our CD. The job description will determine how much funds are needed to cover this “new” position with potential need to ask MMs to contribute more toward this position. The job description will evolve to compliment the skill sets of the applicants. Much of the work of bringing back to life the WQM Coordinator rests with the Personnel Committee and the Finance Committee. With one Friend standing aside approval was given to move forward with the search for an applicant.

2011-37 2nd Minute proposes the addition of 5 hours per month of paid time for the YAC. Approved.

2011-38 Friends Support Committee/William Jackson Fund (read by Wright): Report approved. List of recipients provided; Quarter-wide effort needed to increase funds that are granted to Quaker youth. Friends need to be reminded that contributions can be made to the fund – some MMs have education funds that are not being used that could be contributed to this the Jackson fund.

2011-39 Parkersville Report (composed by Mary Sproat): Approved. A brief financial statement is requested of all property committee clerks.

2011-40 Records Committee Report (Annamarie): A minute was approved recognizing John Beer for his dedication to the upkeep and organization of WQM records. An item for a future QM could be how to use QM’s records.

2011-41 Youth Activities Committee report (….): Approved.

2011-42 WQM handbook: perhaps sections can be distributed to members of the Quarter who are involved with/know about the topic for these Individuals to revise with a request to return revisions promptly. Shelley and Wright have been addressing the handbook and the need for revisions.

2011-43 Announcements: Ellen Gay of Wilmington MM states that her meeting would like to have a formal discussion about WMM leaving Concord Quarter and joining Western Quarter.

Letter of thanks from PYM (Andrew Anderson, Clerk of Financial Stewardship) read indicating that WQM’s giving of our financial covenant was appreciated.

On 11/19/2011 from 4-8 pm a fundraiser will be held for the George Fox School at Sadsbury MM. Chester County Historical Society is displaying quilts from Westtown School.

On 12/6/2011 they will also be doing a tour of downtown West Chester. On 12/18/2011 a Christmas Carol is planned at Marlborough MM at 7:30 pm.

On 12/19/2011 West Grove Meeting will be caroling. WQM newsletter deadline is 12/1/2011. Friendly Adult Presences needed for QM youth activities. As is our practice, we closed with silent worship.
